Position Overview

This position provides word processing, publication, software, and other administrative support for faculty. This position also assists with general office and administrative support as circumstances warrant. It is a part-time (.5 FTE) benefits eligible position.

Job Description

50% Publication & Project Support:
Coordinate and perform work independently with various faculty and staff. Create and review material for proper format consistency and accuracy using templates or other required software components. Work with alternative formats to insure end product conforms to style formats. Track progress of requests and maintain draft copies of projects. Complete and proof all work accurately within timeframe provided.

Prepare and/or convert documents from a variety of sources to a word processing, database, presentation, or web based format. Create and update PowerPoint presentations. Work frequently with legal content materials in the form of books, book chapters, articles, outlines, tables of authorities, indexes, and appendices. Prepare tables, graphs, charts, letters, data merge documents, meeting minutes, and other scholarly material. Verify consistent placement of paragraph spacing, header/footer content, footnotes/endnotes, appendixes, and page numbering, etc. Format cover page, introductory page, acknowledgements, and creating table of contents or indexes. Review proofs from publisher.

15% Software & Web Support:
Assist users in software application and provide technical support for customizing software, trouble-shooting problems, setting document structure, and working with the system network. Consult with technology staff to assist users with software issues and training. Design, maintain, and develop presentations, publications, and web material.

35% Administrative Support, Special Projects and Other:
Provide backup general administrative office support, including phone and reception coverage, when needed and performs other administrative duties and special projects as assigned.

Examples of software or equipment used: WordPerfect, Word, PowerPoint, Adobe Acrobat, Access, Excel, MS Notepad, WestLaw and other legal databases, ScanDisk, Adobe Photoshop, scanner, and multi-function copier/printers.

Required Qualifications

1. High School diploma or GED equivalency and one year of office experience or one year of post-secondary education
2. Two years of word processing experience, including use of MS Word as evidence by application materials.

Preferred Qualifications

1. Two years “troubleshooting” computer systems and software programs.
2. Two years of working with publication processes using style guides.
3. Ability to communicate effectively with faculty to provide analysis of user skills and software requirements for project.
