Position Overview

This position fulfills 2 central administrative functions for the School of Public Affairs & Administration (SPAA). One function supports the program director, faculty and students of the Masters of Urban Planning (MUP) program with a variety of duties related to office management and graduate student support. The second function supports the SPAA director with administrative responsibilities.

Job Description

25% - Office Management
  • Greets visitors, answers phones, monitors general email accounts.
  • Manages incoming/outgoing mail.
  • Manages program finances & accounts payable. Ensures compliance with all university fiscal policies & procedures.
  • Schedules meetings.
  • Maintains an inventory of supplies, purchasing. Ensures compliance with all university policies & procedures related to purchasing.
  • Handles special projects for the Program Director.
  • Plans UBPL events (graduation, guest visitors, faculty search visits, etc.).
  • Assists with external communication, including website, social media and other channels.
  • Other duties as assigned.
25% - Graduate Student Support
  • Assists with student recruitment & admissions.
  • Assists with enrollment, advising & orientation.
  • Processes awards.
  • Maintains student records.
  • Assists with examinations & processing graduation paperwork.
  • Ensures compliance with all university policies & procedures related to graduate students.
  • Other duties as assigned.
50% - SPAA Director Support
  • Manages the director’s calendar (schedules meetings, facilitates online meetings).
  • Provides administrative support for SPAA fundraising efforts (donor communication, research, travel planning).
  • Manages projects on behalf of SPAA director (program assessments, etc.).
  • Manages internal databases.
  • Coordinates all aspects of guest speaker visits (logistics, expenses, publicity, etc.).
  • Assists the director with teaching preparation (Blackboard, course documents, etc.).
  • Provides general administrative support for SPAA director (proofreading, etc.).

Required Qualifications

  1. High school diploma or GED equivalency.
  2. Two years of office or administrative support experience as stated in application materials.
  3. Strong communication skills and attention to detail, as evidenced by application materials.
  4. Experience with Microsoft Office package as stated in application materials.

Preferred Qualifications

  1. Experience providing administrative support for an academic unit
  2. Experience providing student support
