Position Overview

This position will serve as the office administrator for the field division of KU Transportation Services. The position will begin on campus and once fully trained, the position can be moved to a hybrid model with approval by supervisor.

Job Description

65% - Admin Support: On-site duties include checking out equipment to field officers, using NuPark (parking software) to look-up possible tows, add notes to accounts, enter booth runs/warnings, and identify vehicles with the use of teletypes. This position also uses a two-way radio to keep in contact with all student and full time officers in the field. Training provided for Association of Police Communications Officers (APCO) 10 codes and Alpha codes which is a must for proper radio etiquette. The administrator will help schedule student ticket writers to cover information booth breaks, make copies, stock supplies needed for information booths and officers and help answer phone calls.
While working remotely, the position will be in charge of helping answer questions through the departmental email portal (Hawk Help), process the daily quiz results, answer phone calls that come into the field division as well as the main departmental line and other duties as assigned.

15% - First Time Ticket Forgiveness Quiz: Processes daily quiz results, e-mailing ticket cancellation outcomes to quiz-takers and recording statistics in ongoing excel spreadsheets. Able to produce charts and demographic information at any time. Updates online ticket forgiveness quiz as necessary with additional questions and feedback information and images.

5% - Social Media: Represents Transportation Services online through the department’s Twitter account, cultivating a positive public image by posting helpful reminders and notifications and providing instant answers to customer questions or comments whenever possible. Also documents all important social media interactions with saved screenshots, attaching notes to customer accounts when relevant, and monitors mentions of our department online, reporting threatening language to campus police when necessary.

5% - Website: Assists site administrator with official departmental website. Updates alerts on the site when needed.

5% - Public Outreach: Help with Information Fairs (approximately 20 annually) representing Transportation Services. Answers questions and educates new students and their parents about parking and transportation options on campus.

5% - Events: Required to work all events including but not limited to: residence hall move-in, home football games, men’s basketball games, and Commencement which fall on weekday nights and some weekends.

Position Requirements

  • Evening and weekend availability to work scheduled events.

Required Qualifications

  1. High School diploma or completion of GED equivalency.
  2. At least one (1) year of experience with basic office computer systems or one (1) year of post-secondary education.

Preferred Qualifications

  1. Experience in related work consisting of recordkeeping, data entry, or other office support functions.
  2. Actively uses social networking technology, specifically social media experience (Twitter) as evidenced by application materials.
  3. Experience managing a company Twitter or Facebook social media account.
  4. Ability to multi-task, i.e. answering phone calls and radio traffic sometimes simultaneously.
  5. At least one (1) year of experience working in a busy customer-service position.
