Position Overview

KU Operations serves the needs of faculty, staff, students, and visitors. Department responsibilities range from constructing, renovating, operating, and maintaining a safe, accessible, reliable, healthy, and esthetically pleasing campus environment, promoting a culture of sustainability, overseeing space management, and providing campus parking and transit. The incumbent is responsible for administrative and clerical support of this major multifaceted department, requiring significant initiative, independent judgement, and discretion. Position requires superior organizational and communication skills. Must work well under pressure, understand deadlines, and prioritize appropriately.

Job Description

65% - Computerized Maintenance Management System Support:
  • Computerized Maintenance Management System (CMMS) support. Includes, but not limited to, workflow, purchase orders, work processing, data processing, and error processing.
  • Primary system responsibilities include message reprocessing, item master and inventory data management, and job plan and preventive maintenance creation.
  • Serves as backup for work management department.
20% - Asset Management:
  • Facilitate preventative maintenance program by maintaining asset database within computerized maintenance management system.
  • Data verification in the system and in the field as needed.
  • Research specifications to determine appropriate spare part assignment.
  • Provide asset tags to departments as needed.
  • Ensure data integrity of assets through routine review of data and audit of transactions.
10% - Clerical:
  • Serve as point of contact for insurance claims.
  • Maintain asset warranty information.
  • File certificates of liability.
  • Control key box and ensure all keys are checked out and returned only by authorized personnel.
  • In a backup capacity, issue keys and accept key returns in the absence of Lock, Access, & Security Technology Services staff.
  • Maintain inventory and support distribution of cell phones and iPads within Operations.
5% - Other duties as assigned.

Required Qualifications

  1. High school diploma or G.E.D equivalency.
  2. Four (4) years of experience in skilled clerical, accounting, auditing and/or administrative support work. This should include one (1) year of experience with basic office computer systems.

Preferred Qualifications

  1. Strong written and verbal communication skills as evidenced by application material and interview.
