Position Overview
The incumbent serves as Administrative Associate and reports directly to the Assistant Dean and Director for Career Services. The position requires strong computer skills, the ability to multi-task and prioritize job responsibilities, excellent verbal and written communication skills, strong detail orientation, a strong work ethic and an ongoing commitment to excellent customer service. Incumbent works with indirect supervision. Incumbent is the initial point of contact for all inquiries and requests made by walk-in traffic including faculty, staff, general public and university administrators; acts as the general crisis/problem solver in support of the office.
Job Description
40% Coordinate School Events, Activities, and Programs
- Coordinates events/activities for current students and alumni, including, invitations, announcements, RSVP’s and schedules for programs including 2L/3L Orientation, Career Exploration Series, On-Campus Interviews, Mock Interviews, Mentor Program, Legal Career Options Day (LCOD).
- Responsible for organizing, setting up and tear down events of various sizes, including early or evening hours as needed to prepare for such events, including preparation of facilities, making coffee, arranging for and delivering on-site meals for participants, and the setup and tear down of rooms used for such events.
30% Customer Management System
- Use Symplicity (customer relationship management system) to register and create schedules for students, employers and others participating in various programs and events, including, fall and spring on-campus interviews
- Respond to student inquiries on various matters, including, navigating Symplicity system, uploading application materials and general assistance with office related matters/questions
- Respond to employer inquiries on utilizing Symplicity system and involvement with CSO programming; Manage alumni requests for Symplicity access and support
- Oversee job postings to ensure accuracy and current deadlines
- Facilitate external reciprocity requests
- Take continued trainings as necessary to ensure understanding of system updates
10% Office Support
- Assists Assistant Dean and Director with general office support, including preparing letters and other correspondence for mailing or electronic delivery.
10% Office Calendar Management
- Manages master calendar of office activities/events; Responds to telephone calls and in-person requests as directed.
10% Other Duties
- Handles updating employer contact lists; Searches for jobs relevant to KU Law students and recent graduates; and performs other duties as assigned.
Position Requirements
Position is on-site in Green Hall.
The position requires the ability to work some early mornings and occasional late evenings in conjunction with events and programming schedules/demands.

Required Qualifications
- High School diploma or GED equivalency and two years of office experience or two years of post-secondary education.
- Minimum 5 years of experience using Microsoft Office, including Word and Excel.
- Demonstrated excellent communication and customer service to a wide range of customers on a daily basis, as evidenced in application materials.
- Excellent written communication skills and attention to detail, including ability to prepare final business correspondence, as demonstrated by application materials.
- Demonstrated experience working effectively within a team and across school and university sub-units, as evidenced in application materials.
- Demonstrated experience managing multiple projects at once as evidenced in application materials.
- Demonstrated experience working with social media, including LinkedIn, Facebook, web-based networking programs.
Preferred Qualifications
- Familiarity with Symplicity and Microsoft SharePoint computer software.
