Position Overview

The Associate Director for Jayhawk Academic Advising Training is responsible for the creation of and implementation of a robust training program for academic advisors. The Associate Director works closely with the other advising associate directors and the Director to leverage a training program that results in consistent and standardized advising approaches and ensures the overall quality expectations, deliverables and milestones of the team are met. The Associate Director reports directly to the Director for the Centers for Orientation and Academic Advising Programs.

Job Description

50% Training Development and Delivery
  • Create and maintain a robust and comprehensive academic advisor onboarding and ongoing training program.
  • Partner with content experts to ensure training is delivered multiple times per year as needed by Jayhawk Academic Advising.
  • Create and maintain diversity, equity, inclusion and belonging in academic advising training modules utilizing best practices within NACADA, NASPA, and other professional organizations.
  • Consult with management team to assess gaps in advisor knowledge or advising content understanding and provide training and/or desk-side coaching as needed to address gaps.
  • Build a comprehensive, ongoing professional development plan/workshop schedule for all advisors and related personnel.
  • Create and maintain a system to manage new advisor access to required tools and systems.
  • Create processes and trainings to support any standardized advisor expectations.
  • Collaborate with management team to create, capture, analyze, interpret, and respond to daily, monthly, and semester metrics on advising activities and the relationship to student enrollment and experience.

20% - Advising Caseload Coverage/Supervision Coverage
  • In the event of advising vacancies, provide gap coverage of assigned advising caseloads to minimize disruption to students and JAA team.
  • Maintain an assigned caseload of students and serve as a system “super user” to provide adequate support and training to advising staff while also assisting coverage needs.
  • Complies with all student records and enrollment confidentiality and compliance requirements including but not limited to: FERPA, Financial Aid, university policies, etc.
  • May supervise a small team of advisors to meet the needs of JAA.
20% - Advisor Recognition and Career Development
  • Coordinate advisor recognition and award processes for campus, regional and national consideration.
  • Vision and design an approach for information sharing, learning and community building that enhances the learning and development needs of the advising community at KU.
  • Define formal and informal advisor recognition and collaborate with management team to showcase excellent advising work.
10% - Other Duties as Assigned
  • Assists in strategic planning and vision setting to advance the mission and goals of Academic Success.
  • Plans, develops, and manages advising policies and integrates transactional and transformational advising methods into consistent workplace practices.
  • Lead components of the Academic Success strategic priorities or KU strategic plan.
  • Represent JAA when called upon by the Director and participate in committees or projects as assigned.
  • Participate in relevant professional development.

Position Requirements

  1. Advising Services at KU are offered from 8am – 6pm Mon-Friday. Some evening and weekend hours may be required with reasonable advanced notice.
  2. Hybrid work arrangements are available and will be negotiated upon offer of employment.

Required Qualifications

  1. Master’s degree PLUS three (3) years’ experience in student services, admissions or related academic services in a higher education setting OR Bachelor's degree PLUS five (5) years’ experience in student services, admissions or related academic services in a higher education setting.
  2. Three (3) years' experience supervising academic advising and/or admissions/recruitment duties at an institution of higher education.
  3. Excellent written and oral communication skills, as evidenced by application materials and interview process.
  4. Experience analyzing data.
  5. Experience with FERPA (Family Educational Rights and Privacy Act).

Preferred Qualifications

  1. Master’s degree in Higher Education Administration, Student Personnel or related student development field.
  2. Experience building training programs or module-based learning programs.
  3. Experience working with diverse student populations in a higher education setting.
  4. Experience working in an admissions or recruitment setting in higher education.
  5. Experience with advising analytic systems and advising tools.
  6. Experience with the PeopleSoft Student Records (SR) Module or other student information systems.
  7. Experience leading professional staff through large scale change initiatives.
  8. Experience in human resources performance management processes, including Performance Improvement Plans.
  9. Project management experience.
  10. Experience communicating effectively with multiple departments and department leaders.
