Position Overview

Graduate Enrollment Management reports to the Vice Provost for Enrollment Management, which also includes the following functional units: Office of Undergraduate Admissions, Communications and Recruitment Systems, Financial Aid and Scholarships, Enrollment Management Services, Student Information Systems, and Office of the University Registrar. Graduate Enrollment Management collaborates with the Office of Graduate Studies on admission policies and processes graduate applications on behalf of the Vice Provost for Academic Affairs and Graduate Studies.

More than perhaps any other factor, the degree to which a university attracts and retains qualified students determines the success or failure of that institution. The Enrollment Management division is a key player in this activity and has a profound effect on the institution’s success. Graduate Admissions provides application, credential evaluation, and admission support for roughly 75 graduate departments on the Lawrence and Edwards Campus. The primary responsibility of this position is to conduct international credential evaluations during peak application season, while also providing support to process graduate applications, data entry, and responding to prospective and current students and faculty and staff.

Job Description

60%- International Credential Evaluations
  • Prepare detailed international credential evaluations for graduate departments, which includes an examination of institutions and credentials, dates of attendance, and conversion of individual course grades to an overall U.S. equivalent grade point average; most evaluations are completed between October and April each academic year
20%- Process Admissions
  • Coordinate with Undergraduate Domestic Admissions once a week on the daily download of applications
  • Evaluate degree-seeking, certificate-seeking, non-degree seeking, and re-enrollment applications for minimum requirements for admission into a graduate program and process decision on behalf of the Vice Provost for Academic Affairs and Graduate Studies
  • Review academic institution accreditation and recognition of status on applications recommended for admission
  • Maintain current knowledge of Graduate Studies’ admissions policies and procedures and correspond with faculty and staff on admissions processes
  • Verify and confirm authenticity of academic documents submitted with graduate application
  • Assign appropriate admission status according to Graduate Admissions requirements, which includes entering applicant data into Enroll and Pay, and making corrections to applicant records
  • Based on guidance provided by the Office of the University Registrar, assign initial residency based on address information, work, and school history, which has significant impact upon the rate of tuition the applicant will pay
  • Place enrollment holds for final, degree conferring official transcripts, Watkins Health Center, and Applied English Center, and release the holds for official transcripts upon receipt of appropriate documentation
  • Serve as back up for daily application load of processed admissions from the admissions database to PeopleSoft/Oracle Enroll and Pay system
15%- Office and Data Entry Support
  • Update application and Enroll and Pay records as needed with degree conferral and GPA with official and final transcript information, term changes, acceptances/declines, KU advising reports, and English proficiency
  • Respond to inquiries in the main Graduate Admissions’ phone and e-mail accounts through a ticketing system
  • Enter and update prospective student data in the CRM system
5%- Other duties or special projects as assigned by the Assistant Vice Provost/Director of Graduate Enrollment Management or Assistant Director of Graduate Admissions

Required Qualifications

  1. High School diploma or GED equivalency and two years of office experience or two years of post-secondary education.
  2. One year minimum of work experience that demonstrates ability to perform detailed work prioritize multiple tasks, complete position responsibilities, and meet deadlines with minimal supervision as evidenced by application materials and interview.
  3. Demonstrated strong communication and organizational skills as evidenced by letter of application and work history.
  4. Strong written, verbal, and interpersonal communication skills, as evidenced in application materials and interview.
  5. Outstanding customer service orientation, as evidenced in application materials and interview.

Preferred Qualifications

  1. Bachelor's degree.
  2. Knowledge of KU and graduate programs' admission requirements, policies, and procedures.
  3. Experience with the Slate CRM and application systems.
  4. Experience with an electronic ticketing system.
