Position Overview

The Hutchinson Campus is on 173 acres with fifteen buildings, including two multi-story residential student dormitories.

The Hutchinson Campus is home to the Kansas Law Enforcement Training Center (KLETC). A unit of The University of Kansas (KU), KLETC serves as the central agency for all law enforcement training in the State of Kansas. KLETC manages an $8.1 million annual budget, 62 authorized FTE staff (augmented by more than 400 contract/adjunct staff annually), and trains nearly 15,000 students annually in residential, online, and outreach programs. KLETC serves 437 recognized law enforcement and police agencies in Kansas, providing basic training and continuing education programs throughout each fiscal year. Many KLETC basic training and continuing education programs are conducted in a high-risk and high-liability environment (firearms, use of force, emergency vehicle operations driver training, defense tactics, and search and seizure).

Position Overview

The Administrative Assistant provides office support to 20 instructors, adjunct instructors, role players, over 400 basic training students annually, and supports the administrative tasks of the assistant/associate directors.

Job Description

25% Evaluates and revises, as necessary class materials to ensure learning objectives are represented in the courses being taught. Maintains roll call charts and conducts roll call. Is responsible to maintain accurate attendance records for all classes. Responsible for student check in/out for all classes by issuing dormitory rooms, preparing all materials, and scheduling all classrooms;

15% Manages records for each student and ensures compliance with the Family Educational rights and Privacy Act (FERPA, 20 USC § 1232g). Manages student attendance records and coordinates with appropriate staff regarding student absences (subpoenas, illness, injury, etc.) Maintains all basic training student files until certification is granted;

15% Duties related to commencement ceremony and certification requirements: Develops commencement materials, ensuring all information is accurate. Prepares correspondence to staff, students, law enforcement executives, elected officials and members of the Kansas Commission on Peace Officers’ Standards and Training regarding commencement activities. Prepares and distributes all certifications earned by students. Completes student transcripts. Prepares and sends all student achievements to their departments;

15% Department support, cross-train with other support services within basic training program;

10% Order, receive, distribute, and manage student uniforms. Liaison between vendor(s) and KLETC;

5% Manages all print material, including typing revising and proofreading final documents, maintaining a schedule for duplication and archiving one copy of training handouts for each basic class as a permanent record. Maintains training materials rooms;

5% Composes disciplinary correspondence to be presented to the student and sent to the department and maintains disciplinary records for associate director and assistant director;

5% Maintains list of students who did not qualify for certification due to failure to meet requirements of a portion of the curriculum (i.e. emergency driving, firearms, etc.). Notifies agencies of such and schedules students to return for remedial or makeup training. Once remedial/makeup training is successfully completed, prepares certificates, transcripts, etc.;
5% Other duties as assigned.

Required Qualifications

  • High school diploma or GED equivalency and one year of office experience or one year of post-secondary education;
  • One-year experience in skilled clerical, accounting, auditing and/or administrative support work, including one-year experience with basic office computer systems;
  • Strong communication skills as reflected in the application materials and the interview;
  • Valid Kansas driver’s license or ability to obtain one within 90 days of employment.
