Administrative Associate (Part-Time)
Position Overview
The Kansas Scholastic Press Association (KSPA) is a non-profit organization composed of Kansas scholastic journalism students and their teachers. The University of Kansas supports KSPA as an affiliate organization, providing staff members who assist the association’s executive director. The organization is committed to excellence in journalism at all levels and views its focus as one of providing journalism education leadership for Kansas teachers and students. KSPA provides a support system through its contests, conferences, and scheduled activities.
The Administrative Associate position reports to the KSPA executive director and assists with programming and finances for the organization. The employee is expected to perform the duties of this position in the highest professional manner with minimal supervision while utilizing independent judgment and discretion. The Administrative Associate must be detail and deadline oriented and possess exceptional organizational skills. The employee must interact professionally with the members of the organization (teachers) as well as students who attend KSPA member schools. In planning events, the employee will also work with the university community, representatives of other Kansas universities, professional journalists, and retired journalism teachers. Additionally, the associate will aid in the supervision of KU student employees who are hourly workers for KSPA.

Job Description
40% Contest Management
- Coordinates KSPA contests including publication critiques, scholarship applications, monthly contests, and annual teaching awards.
- Publicizes winners of contests through certificates, medals, website publicity, and social media announcements.
- Approves payable time for student assistants
- Assigns tasks to student assistants and confirms quality work
- Matches incoming payments with online invoices to prepare bank deposits
- Ensures that outstanding invoices are paid through online payment system
- Assist in programming KSPA in-person events, including conferences, contests and workshops.
Position Requirements
- This position will be working on-site and will require weekend program assistance twice a year.
- This is a part-time (20 hrs/week) position
Required Qualifications
- High School graduate or GED
- Two (2) years experience in general office, clerical and/or administrative support work OR Two (2) years of post-secondary education.
- Working knowledge of the operation of office equipment, personal computers, and communications equipment, as evidenced in application materials
- Working knowledge of either 1) the suite of Google applications, such as Google Docs, Google Slides and Google Sheets or 2) Microsoft Office Suite, as evidenced by application materials
- Effective written communication skills, as demonstrated in application materials
Preferred Qualifications
- Job experience in office support/clerical work
- Excellent verbal interpersonal skills with a diverse population
- Experience in basic bookkeeping functions, especially QuickBooks
- Knowledge of journalism education or the William Allen White School of Journalism and Mass Communications
- Experience with Adobe Creative Cloud applications, as evidenced by application materials
- Experience posting content to a website using Wordpress.

Advertised Salary Range
17.30/hour
Work Schedule
Tuesdays, Wednesdays and Thursdays but to not exceed 20 hours per week
