Position Overview
The School of Engineering is hiring for a Program Coordinator for Undergraduate Academic Services. This position works at the Engineering Student Success Office, with students, faculty, and academic partners and resources throughout the School and across campus to provide important academic services to undergraduate students. The School of Engineering Dean's Office is a service-oriented organization with students, faculty, alumni, and industry employers, as well as the University of Kansas, as constituents. The Program Coordinator must know and understand the requirements of all undergraduate degree programs within the School and develops, coordinates, and reviews procedures to ensure that Engineering and University policies, requirements, and regulations are implemented in accordance with the intent of faculty/student governance and applied equitably to all students.
The School of Engineering has over 2,400 undergraduate students, with planned continued growth. There are 11 undergraduate degree programs in five departments and the curricula requirements are strenuous and regimented. Job Description
Job Duties Student Academic Success - Services (40%):
Student Academic Success - Policies and Procedures (30%)
Assistance to the Associate Dean for Academic Affairs (20%)
Other Duties (10%)
- Implement and assess programming to foster academic success, student engagement, and community building within the undergraduate student population.
- Collaborate with Jayhawk Academic Advising (JAA), the Associate Dean for Academic Affairs, and Assistant Dean to identify trends and factors tied to degree progression and degree completion that can be used to develop strategies to enhance student retention and timely graduation.
- Coordinate, plan, and assess the small group study and practice exam programs for undergraduate students in the School of Engineering.
- Supervise Graduate Assistant(s) and hourly undergraduate students who assist with the small group study and practice exam programs.
- Assist in the development of curriculum for and the instruction and assessment of ENGR 101, a course that provides additional supports to specific groups of engineering students.
- Assist the Associate Dean for Academic Affairs and/or Assistant Dean with the academic standing process (probation, dismissal, and return to good standing) of all School of Engineering students who are “at-risk”-flagged at the end of the Fall and Spring semesters, including updating student status through the Office of the University Registrar.
- Prepare and submit the Engineering Honor Roll files at the end of the Fall and Spring semester to the Office of the University Registrar.
- Work with the Associate Dean for Academic Affairs and/or departments to provide academic support for students who are dismissed who are working toward readmission to the School of Engineering.
- Develop, maintain and communicate a complete list of support services for faculty and staff to reference when needing student success assistance.
- Foster diversity, equity, inclusion and belonging at KU. Collaborate with School Diversity and Women’s Programs and KU’s Office of Diversity, Equity, Inclusion and Belonging for consistent strategic efforts and communications.
- Supervise and coordinate the Fall and Spring Graduate Recognition Ceremonies in coordination with the Program Coordinator for Graduate Academic Services and other members of the Engineering staff.
- Propose and maintain an annual budget for student services activities within the School of Engineering.
Student Academic Success - Policies and Procedures (30%)
- Serve as the primary resource to the School of Engineering faculty and departments for matters related to University and School academic policies and other academically-related issues.
- Coordinate procedures to ensure that Engineering and University policies, requirements, and regulations are implemented in accordance with the intent of faculty/student governance and applied equitably to all students.
- Coordinate with the Associate Dean for Academic Affairs the work of academic-related requests such as FacEx petitions, Retroactive Withdrawal, Academic Forgiveness, Compassionate/Medical Withdrawal, and others.
- Manage the School of Engineering Workflows on Perceptive Content such as “ENG Form Approvals DPR Entry,” “ENG Form Approvals Complete,” “ENGR (OUR School Review),” and others as indicated by the Associate Dean for Academic Affairs.
- Manage academic misconduct procedures for the School of Engineering using Maxient.
- Ensure effective working relationships between the School of Engineering and Engineering academic departments, Office of the University Registrar, Orientation and Transition Programs, Jayhawk Academic Advising, University Academic Support Centers, Department of Athletics, Information Technology, the undergraduate offices in the professional schools and College of Liberal Arts & Sciences, and the Provost's Office.
- Serve on the School of Engineering Curriculum Committee as a non-voting member and attend the Engineering Faculty Senate meetings.
- Assist with academic reports: Use university systems and databases (DEMIS/OAC, Enroll & Pay, Advising Tool), and collaborate with Analytics, Institutional Research, & Effectiveness (AIRE) to provide application, enrollment, and graduation statistics and reports for use in School and departmental administrators’ undergraduate program strategies.
- Serve as the School’s point of contact for student grievances, complaints, or special services such as Title IV, ADA, FERPA, Ombuds, and other critical resources for students.
- Approve certification for graduation of Engineering students based on completion of University and School degree requirements.
- Maintain the Engineering sections of the Undergraduate Catalog current and up-to-date via the CIM/CAT platform.
- Work with the Associate Dean for Academic Affairs and engineering departments to maintain ABET documentation as required between visits and assist with the writing of Self-Study Reports (SSRs) for accreditation visits, and provide administrative support toward ABET accreditation.
- Work with the Associate Dean for Academic Affairs and engineering departments to maintain Higher Learning Commission (HLC) documentation as required by KU Administration.
- Act as the School liaison to KU Student Affairs and Academic Affairs as appropriate, especially in regards to Engineering accreditation and programs assessment.
Assistance to the Associate Dean for Academic Affairs (20%)
- Assist the Associate Dean for Academic Affairs in matters related to academic affairs and Engineering student success as needed.
- Meet regularly with the School of Engineering Academic Affairs team to discuss plan initiatives and collaborative efforts necessary to ensure student success.
Other Duties (10%)
- Other duties as assigned by the Associate Dean for Academic Affairs.
Position Requirements
This position is required to work on-site at the Lawrence, KS campus.
Required Qualifications
- Bachelor’s degree plus three years related experience or a Master’s degree.
- Two years administering academic or student services and programs at the higher education level.
- Excellent written communication skills as evidenced by application materials.
Preferred Qualifications
- Master’s degree in higher education or related field and 3 years of relevant experience.
- Demonstrated effectiveness working with diverse student populations.
- One-year experience in engineering or STEM profession, student affairs or other relevant experience related to program management.
- Three years administrative work experience in an academic services office or relevant field.
- Working knowledge of University and/or Engineering regulations related to academic requirements.
- Willingness to be involved in both weekend and evening events.
- Experience in development of academic programs, policies, and procedures.
- Experience analyzing and interpreting data to make and justify decisions.
- Experience using analytical tools such as Peoplesoft, Tableau, OAC, and EAB.
