Position Overview

The Research & Learning (R&L) Administrative Associate will provide administrative support for the Research Engagement Division at KU Libraries. This position will work closely with library faculty and staff to support programs such as library instruction, orientations, the KU Common Book, Sprints Week, and library exhibits. Support responsibilities include email and phone communications, creating and maintaining Qualtrics surveys, monitoring workflows, assisting with committee meetings, managing calendars and reserving rooms, distributing library instruction requests, occasional scheduling of research consultation appointments, and other general administrative tasks. The R&L Administrative Associate works closely and collaboratively with colleagues inside and outside of the libraries to plan and coordinate programming in support of the KU Libraries strategic plan. This position reports to the Head of the Center for Undergraduate Initiatives and Engagement.

Job Description

70% Administrative Support
  • Work closely with R&L leadership to support engagement activities with students, faculty, instructors, and staff across campus.
  • Communicate and collaborate with campus stakeholders effectively and efficiently.
  • Coordinate scheduling, and provide logistical support for meetings, workshops, and other events in collaboration with the Libraries Office of Communication and Advancement.
  • Schedule appointments and maintain calendars.
  • Monitor departmental email accounts and phone.
  • Following established workflows, coordinate and distribute library instruction requests.
  • Monitors workflows to ensure that tasks are completed in a timely manner.
  • Maintains electronic filing systems.
  • Coordinate library support for orientations and information fairs.
  • Provides office management support, including ordering supplies, and providing technical support for office and conference room technology.
  • Participates in meetings and committees as needed.
20% Communications Support
  • Coordinates with the Libraries Office of Communication and Advancement for event planning, communication, and event promotion.
  • Makes updates to select webpages.
  • Makes updates to online Library Guides.
10% General Assistance/Other Duties as Assigned
  • Engage in professional development activities
  • Participate in committees, working groups, etc.
  • Demonstrate a commitment to advancing equity, diversity, inclusion, and belonging

Position Requirements

  1. This position is considered hybrid, a combination of remote and on-site work as deemed by supervisor.

Required Qualifications

  1. High school diploma/GED equivalency and two (2) years of office experience. *Two (2) years of post-secondary education may be substituted for the office experience.
  2. Demonstrated experience using Microsoft Office Suite applications (e.g. Outlook, Word, Excel, PowerPoint, Teams, OneDrive).

Preferred Qualifications

  1. Bachelor’s degree.
  2. One or more years’ experience working in a higher education environment.
  3. Experience successfully prioritizing multiple, detail-oriented projects and meeting deadlines.
  4. Ability to successfully complete projects independently and with minimal supervision.
  5. Ability to effectively collaborate as a member of a team.
  6. Flexibility and willingness to adapt and respond to changes in work priorities and processes as evidenced from prior work experience.
  7. Experience with Qualtrics survey software, or comparable survey tools.
  8. Experience using a Content Management System to update web content.
  9. Excellent attention to detail in written work as evidenced by application materials.
