Jump in with a friendly and supportive group of museum scientists and software developers in Dyche Hall (Natural History Museum) to supplement your coursework with hands-on accounting for a mission-oriented, global-impact, organization. We operate the international Specify Collections Consortium (SCC), which is a membership organization of 80 natural history museums around the world that use KU’s Specify software to keep track of their biological research collections of specimens of plants and animals (

Our baseline accounting is handled by KU within the university’s accounting systems for revenue, tracking invoices and payments, and for itemizing expenses. We need a student accountant to assemble and analyze the financial data from the KU systems, to summarize them each month into a simple revenue/expense statement, and to assist with issuing membership invoices once a year. The results of the work will be presented to the Consortium’s Board of Directors.

The position will provide the opportunity to organize and automate the analysis and reporting of the Consortium’s finances, and also to develop simple projections for revenue and expense categories. This position is an outstanding opportunity to play a key role in our international consortium and the work will definitely build career-valuable expertise.

No prior biology or museum experience is needed. We will bring you up-to-speed on our organizational mission and activities. Job Description

50% Finance Accounting. Using KU financial systems, track revenues and expenses to produce simple monthly reports on SCC fund balances, status of payments for sent invoices, once a year invoicing member institution for annual dues in DARBI, maintaining simple projections of fund balances and budget for current year. Provide any additional documentation Consortium members may need to make payments through KU channels.

40% General Program Coordination and Assistance. Assist with the organization, coordination and communication of the Specify Consortium’s Board and Advisory Group meetings.

10% Miscellaneous. Assist with various other administrative, financial or organizational special projects as they arise.

Required Qualifications

  1. Completion of ACCT 410 – Intermediate Accounting II or equivalent.
  2. Must be perceptive and attentive to detail.
  3. Must be motivated for problem solving and learning
  4. Good communication skills to be able to interact with KU campus finance and administrative staff.
  5. Must be available to work a steady, personalized schedule on campus in Dyche Hall (Natural History Museum) between the hours of 8-5 M-F, with flexibility for rescheduling and accommodating issues outside of work when they arise. During academic semesters we are looking for a 10-15 hour/week commitment, and potentially more in the summer depending on interests and background of the student.
**During the semester term of the appointment, the student hourly must be enrolled in no fewer than 6 credit hours. For summer periods the student hourly must: 1) have been enrolled in no less than 6 hours in the past spring semester or 2) be pre-enrolled in upcoming fall semester in no less than 6 hours or 3) be enrolled in summer session or 4) be admitted to study in the upcoming fall semester. Student Hourlies may be undergraduate or graduate students.

Preferred Qualifications

  1. Coursework foundation of basic non-profit accounting for small organizations
  2. Experience with accounting work for a business as either a part-time job or internship.
  3. Completion of ACCT 425 – Accounting Information Systems.
