Position Overview
The KU School of Education & Human Sciences is seeking an Undergraduate Student Services Manager to coordinate undergraduate student records and academic services. The position performs a variety of specialized academic and student services tasks for undergraduate SOEHS students including the areas of admissions, academic standing, graduation, and enrollment. The position also assists in the collection and analysis of data in support of retention and progression efforts. The ability to work independently with strict attention to detail while maintaining confidentiality is essential in this role.
Job Description
75% - Student Records and Academic Services
- Process, coordinate, audit and document a wide variety of administrative functions focused on student records and academic services for undergraduate SOEHS students. Processes may include but are not limited to aspects of admissions, academic standing, graduation, and enrollment. Provide the highest standard of confidentiality and accuracy with regard to student records services. Serve as school's primary resource/access for undergraduate academic services software systems and workflows. Examples of tasks include:
- Independently apply school standards for admission for first-year, transfer, and current KU students.
- Evaluate and communicate academic standing on a semesterly basis.
- Assist in completion of progress toward degree evaluations.
- Independently complete confirmation of degrees including review, approvals, denials, and rescinds.
- Responsible for conducting graduation checks; identifying and reporting SOE honor roll, Distinction and Highest Distinction; determining and reporting Athletic Progress Towards degree. Administration of records and reporting for the following: admitting students to the SOEHS, readmitting students, credit/no credit requests, School of Education and Human Sciences petitions, student petitions reviewed by Faculty Senate Executive Committee, admitting students to SOEHS minors.
- Primary contact person to the registrar.
- Work in close coordination with academic advisors during pre-certification to forecast and resolve anticipated conflicts in advance.
- Process petition forms, including ensuring timely progression of petitions through the workflow and keying exceptions when needed.
- Maintain and coordinate student records and data within and between university systems including Enroll & Pay, Jayhawk GPS, and Degree Progress Reports (DPRs).
- Serve as School liaison to Student Information Systems, assisting with DPR error reports and edits.
- Extract student data to generate a wide variety of reports and lists as needed and requested. Samples include admissions, enrollments, honor roll, and verification for graduation.
- Work in collaboration with SOEHS departments to set and manage course capacities and determine course scheduling needs.
- Work closely with academic advisors to create, assign, and monitor teacher education cadres.
- Serve as point person for permissions.
- Communicate with students and appropriate university staff/departments both within the School and across campus to ensure enrollment, admissions, student distinctions, and other academic issues are addressed for students.
- Communicate School-level updates and opportunities with undergraduate student population.
- Identify inefficiencies and implement solutions to improve student services workflows, processes, and policies.
- Assist in the collection and analysis of student data in areas of admissions, academic standing, graduation, and enrollment to support retention and progression efforts.
- Liaison with the Career Center to track numbers and graduates after graduation.
- Will supervise staff.
- Coordinate recognition events for SOEHS undergraduate students, including both the Fall Recognition Ceremony and Spring Convocation. Duties may include but are not limited to:
- Work closely with Marketing & Communications Coordinator to deliver accurate and timely information through the SOEHS graduation website.
- Communicate ceremony information with graduating students, faculty, and staff.
- Manage student registration.
- Facilitate the scheduling of service providers (e.g., photographer, musicians).
- Coordinate volunteer team and student, faculty, and staff participation in recognition ceremonies.
- Student orientation for new students.
- Oversee all day-of responsibilities.
- Provide staffing support to Welcome Center Director as needed. Duties may include but are not limited to:
- Staff the SOEHS Welcome Center as needed, providing a first point of welcome for students, staff, faculty, and visitors in the building.
- Manage the coordination of opening and closing the Welcome Center and Dean's Wing.
- Provide support to Dean's Wing faculty and staff by answering telephone calls, responding to email messages, and resolving or referring inquiries and problems.
- Greet guests and meet visitor needs by providing resources, directions, etc.
Required Qualifications
1. Bachelor's degree plus two years related experience or a Master's degree.
2. 1 year experience using Microsoft office software applications, including excel, as evidenced in application materials.
