Position Overview

The Transfer and Early College Program Coordinator for the KU Edwards Campus (KUEC) works with a significant part of the Edwards Campus portfolio with the transition, retention, and graduation of undergraduate students. This position has three core areas of responsibility: 1) community college outreach and collaboration, 2) early college program coordination (Degree in 3 and related programs), and 3) KUEC Honors Program. The position works with both Johnson County Education and Research Triangle (JCERT) and non‐JCERT programs. This position reports to the Assistant Vice Chancellor for Undergraduate Programs and has a strong dotted line to the Director of Student and Support Services. The coordinator will also ensure their efforts are aligned with strategies of the Director of Public Relations and Marketing, Director of Community Relations and Business Development, and the academic program development team (Associate Vice Chancellor, Assistant Vice Chancellor, and the Director of Science Programs).

Job Description

50% - Community College Collaboration and Outreach
In line with the strategic plan developed by the Assistant Vice Chancellor, this position will manage the implementation of the critical programs and initiatives with community colleges in the Kansas City metro area, building upon existing relationships.
  • Coordinate JCCC, KCKCC, and MCC transfer student initiatives
  • Collaborate with the College of Liberal Arts & Sciences, School of Business, School of Education, School of Engineering, and other relevant Schools on strategic connections.
  • Generate quarterly community college engagement reports for internal campus leadership and community college leadership as well as other requested strategic communications to highlight partnerships, transfer student issues, and achievements.
  • Prepare regular communications for community college counselors and other strategic outreach efforts for increased community college connections.
  • Serve as the campus liaison for Phi Theta Kappa (community college honor society).
  • Establish and provide on‐site all-KUEC program coaching/advising at least one day per month at MCC, KCKCC and JCCC.
  • Maintain strong relationships with area community colleges through regular visits and attendance at transfer student events, fairs, and related outreach opportunities.
  • Maintain knowledge and understanding of academic program outcomes, and through prospective student conversations ensure appropriate student-to-program matches or make appropriate program referrals.
  • Manage student records on KU student information systems and database/CRM systems.
  • Coordinate and provide guidance to Academic Success Coaches and Program Leaders who are visiting community college classrooms to share program information.
  • Coordinate contact with community college advisors/counselors and transfer coordinators; sharing changes in academic programs they may influence transfer advising.
  • Participate in meetings with community college departmental faculty as needed.
  • In collaboration with the Manger, Academic Success Coaches review all transfer credit guides created by Academic Success Coaches with area community colleges. Coordinate their distribution, ensure they are posted on internal and community college websites appropriately, and ensure they are available on campus in key locations.
  • Work closely with Edwards Campus marketing team, Manger, Contact Center and Manager, Academic Success Coaches to collaboratively develop and maintain a strategic communication and enrollment conversion plan for transfer students.
  • Coordinate with KU Admissions, the University Advising Center, and Advisors from KU departments to support community college recruitment visits and the dissemination of relevant information to community college students and advisors/counselors.

30% - Early College and Seamless Transfer Development
The Degree in 3 program is a career pathway early college program with high school and community college partnerships intended to help students strategically use early college opportunities to design a clear pathway to degree completion in three years after high school graduation.
  • Coordinate program collaboration and formal agreements with high school, career center, and community college partners.
  • Advise Degree in 3 program students from the point of inquiry through high school senior year when students transition to the community college and KU degree program.
  • Develop proposals for new program agreements and/or new high school/career center partnerships providing early curriculum analysis and pathway development in consultation with faculty program leaders.
  • Design communication and outreach plans relevant to this student audience at each stage of the program.
  • Track student progress through each program milestone; ensure student criteria is maintained for program completion; assist students not meeting program criteria appropriately.
  • Manage partner/stakeholder gatherings.
  • Gather and analyze data related to student engagement and success in the program and provide to campus leadership.
  • Maintain appropriate marketing and informative tools, handouts, and web content in collaboration with KUEC Marketing and Public Relations to meet the needs of the program and KUEC leadership.
  • Serve on partner advisory boards/vision teams as appropriate.
  • Manage student records on KU student information systems and database/CRM systems.
  • Execute a variety of inquiry-to-applicant conversion and strategic outreach events, including informational sessions, community presentations, classroom visits, and industry events in the KC metro area with support from the KU Edwards Recruitment team as part of the D3 strategic enrollment plan.
10% - KUEC Honors Program Advising
Serve as the primary academic coach for all KUEC Honors students and assist in training and coordinating with campus partners.
  • Advise KUEC Honors students and track honors contracts and enhanced learning experiences for each student.
  • Assist students in identifying enhanced learning opportunities.
  • Assist the Assistant Vice Chancellor in preparing communications and training materials for KUEC faculty and program leaders.
  • Coordinate transfer agreements between community college partners and KUEC Honors Program.
  • Collaboratively maintain relationships with Honors Program staff and faculty at community colleges and KU Lawrence campus.

10% - Campus Support
  • May supervise a student worker/part-time outreach specialist.
  • Provide campus leadership with analysis on transfer student progress, enrollment, and graduation.
  • Provide community college and degree-specific context and guidance to program leadership for communication, collaboration, and strategic planning
  • Attend relevant meetings at KUEC, KU Lawrence, and local community colleges and high schools.
  • Participate in KUEC department and campus meetings and trainings.
  • Represent the KU Edwards Campus on KUEC and University related committees related to the retention and graduation of a KU undergraduate/transfer student.
  • Participate relevant professional development annually.

Required Qualifications

  1. Bachelor's degree
  2. Minimum of three years of experience in undergraduate academic advising.
  3. Experience working with transfer student issues including articulation, recruitment, orientation, and/or advising.
  4. Effective written communication skills as evidenced by application materials.

Preferred Qualifications

  1. Master’s degree in Higher Education, Student Personnel, Counseling or a related area.
  2. Demonstrated knowledge of KU student systems, transfer policies and procedures
  3. Demonstrated knowledge of KU academic programs.
  4. Demonstrated experience of program assessment and evaluation.
  5. Demonstrated experience in managing complex, multiple projects.
  6. Demonstrated experience with student information systems.
  7. Demonstrated experience with CRM (constituent relationship management) software.
  8. Experience working with University Honors Programs and/or Honors students.
  9. Familiarity and understanding of Family Educational Rights and Privacy Act (FERPA) related to external educational partnerships.
