Position Overview
The Department of Curriculum & Teaching is hiring for an Administrative Assistant to support online graduate programs within the department. The position will also provide administrative support to the department chair. The ideal candidate will have experience prioritizing and assigning workloads based on deadlines. Excellent computer, analytical, problem solving, and communication skills are desired for this role.
This role may be either fully on-site at the Lawrence Campus or Hybrid with up to two days a week working remotely, to be negotiated with the Department Chair.

Job Description

- Review, interpret, communicate, and process applications to the online programs within the Department of Curriculum & Teaching.
- Serve as a liaison to colleagues at KU’s online vendor or office involved in the recruitment, admission, and support of students in the online programs.
- Know university graduate policies and procedures and share with admissions team, success coordinators, students, and faculty to ensure success of online students.
- Assist online students and/or online advisors with leave of absences and returns, change of programs, deferments, transfer credit evaluations, course sequences, as well as school and university petitions.
35% Administrative
- Schedule course sections for the online programs and coordinate program offerings with the department and KU’s online vendor or office. Because of the complexity of scheduling, it is important to schedule courses with as few conflicts and errors as possible.
- Work with the C&T administrative team to annually update course catalog, online master’s program handbook, and applications for online programs.
- Work with department chair to identify instructors for scheduled courses.
- Confirm textbook selections for online programs with course authors and share information with online partners and KU bookstore.
- Maintain instructor’s library for all C&T courses (undergraduate and graduate courses).
- Assist faculty search committees by scheduling phone and on-campus interviews, make travel arrangements for campus visits, and facilitate reimbursements.
- Maintain digital student records.
10% Other Duties as Assigned
- Participate as a member of the administrative team in the Dept. of Curriculum & Teaching.
- Assist in planning special events for the department.
- Assume additional responsibilities as assigned by the department chair.
Required Qualifications
- High school diploma or GED equivalency and two years of office experience or two years of post-secondary education.
- Excellent computer, analytical, problem solving, communications, and interpersonal skills as evidenced by previous work history.
- Experience prioritizing and assigning workloads based on inflexible deadlines.
Preferred Qualifications
- Baccalaureate Degree
- Proficiency managing information and data utilizing internet-based programs.
- Prior experience working in an office environment managing multiple tasks.

Advertised Salary Range
$14.50 - $19.75 hourly, salary will be commensurate with documented experience.
Work Schedule
Standard M-F; May be either fully in person on Lawrence Campus or Hybrid with up to two days a week working remotely, to be negotiated with the Department Chair.
