Certificates/Program Coordinator


Position Overview

The KU School of Business is seeking a Program/Certificates Coordinator to assist in the coordination and operation of a diverse range of duties within the entrepreneurship program, including the Entrepreneurship Certificate and a variety of co-curricular activities. The Coordinator will serve as a vital member of the entrepreneurship team to deliver high quality experiences and add value to the professional and entrepreneurial development of students. This position will interact with a diverse group of faculty, staff, students, external sponsors, and donors. This position may supervise students.

This is a newly created position within the School of Business driven by the School’s continued growth and commitment to fostering innovation and advancing the quality of its entrepreneurial programs. This is a full-time, 12-month, staff position reporting directly to the Director, Entrepreneurship Co-Curricular programs primarily, and indirectly to the Director, Entrepreneurship Degree Programs. It is designed primarily as an on-campus position but may have flexibility to work virtually or hybrid over breaks and summer, as approved.

Job Description

70% - Entrepreneurship Program Support- Coordinate components of Entrepreneurship programs. Incumbent is expected to facilitate multiple projects/tasks/events related to the certificate, Jayhawk Consulting, The Catalyst program, Entrepreneur and Innovator in Residence programs, lunch-and-learn series, and other programming. Duties include but are not limited to:
  • Help coordinate communication amongst faculty, staff, students, partners, and vendors regarding entrepreneurship programs.
  • Work with Communications team, under the direction of the Co-Curricular director, to actively market the entrepreneurship program across the School and university, including informational meetings and presentations to targeted student clubs or associations, especially with regard to the certificate.
  • Help track budgetary allocations and expenditures.
  • Create and propose new action plans to the director to further support program goals.
  • Resolves routine, daily situational problems independently.
  • Collects and compile data for programing reports and evaluations.
  • Provide support to students and inform them of opportunities within the program.
  • Collaborate with department leaders to identify new opportunities for students to participate in.
  • Oversee the submissions of items for students to obtain their certificate. This may include work with the School’s eProgram for professional development.
  • Assist in the identification and development of programmatic improvements.
  • Adapt and remain flexible to changing responsibilities that support the overall goals and objectives of the School, as the Entrepreneurship program’s needs evolve
20% Certificate Coordination- Provide administrative support to faculty, staff, guests, sponsors, etc. directly related to certificate programs, processes, events, etc. Primary focus will be with the Entrepreneurship certificate but may include any certificate program within the School. Collaborate and coordinate with others, including other certificates staff where appropriate. Duties include but are not limited to:
  • In close coordination with the School’s Events staff, assure certification events are properly planned, recognized within the School’s events and communications process, and assure that all aspects of events are executed in a timely manner including post event-follow up.
  • Handle daily communications from faculty, staff, students, partners, vendors, etc. regarding certificate program, addressing needs or routing appropriately in a timely manner.
  • Aid faculty and staff in tracking student progress through the certificate program and processes, including e-Platform integration.
  • Maintain accurate and timely records and data related to certificates awarded, progress through program and detailed program metrics (e.g., dates of completion, rosters of students, scores where appropriate).
  • Prepare reports for partners and leadership as directed.
  • With faculty guidance, coordinate the selection and procurement of certification resources (e.g. training opportunities, materials, sites)
  • Keep certification provider contracts, agreements, renewals, etc. current, including coordinating any fee payments.
  • With direction from faculty, School leadership, and/or KUEA Development Director, provide administrative support to the partnerships for the various certifications (e.g. scheduling partner meetings, visits, regular communications).
  • With administrators and program staff, coordinate budgetary allocations and expenditures related to certificate programs.
  • With program faculty, develop a portfolio and calendar for routine certificate-related events.
  • Collaborate with other certificate staff and serve as back-up, training partner or other support as needed.
10% Other Duties- Participate as an active and valued member of the School of Business Staff.
  • Attend business school staff and faculty assembly meetings as needed.
  • Participate in school and university wide committees and groups as requested.
  • Complete other job-related duties as assigned.

Required Qualifications

  1. Master’s degree, OR Bachelor’s degree and 3 years of professional experience.
  2. Experience that demonstrates a strong record of an ability to successfully manage projects.
  3. Excellent communication and organization skills as evidenced by application materials.

Preferred Qualifications

  1. Experience with spreadsheets and/or databases, as demonstrated by application materials. interview process.
  2. Experience in higher education.
  3. Experience demonstrating, adaptability, flexibility, or prior highly dynamic role.
