HR Senior Recruitment Coordinator
Position Overview
As a HR Senior Recruitment Coordinator at the University of Kansas, you will be a key player in the recruitment and hiring activities for the Talent Acquisition Centers of Excellence at the University of Kansas. This role involves coordinating and supporting various aspects of the recruitment lifecycle. The Sr. Recruiter serves as subject matter expert for an assigned portfolio of campus units, ensuring a positive and efficient experience for candidates, the HR Partner, and hiring teams.
This position serves as a liaison with units and key partners, provides leadership and strong knowledge base of compliance programs, university policies to provide guidance and training as needed. This role has the opportunity to work on several projects to streamline operations and improve efficiencies as well as facilitates, develops and participates in training and outreach programs while actively engaging in assigned recruitment portfolio.
This position is hybrid, working two days remote and three days at the Lawrence, KS campus.

Job Description
70% - Recruitment Initiatives
- Provides leadership in the facilitation and monitoring of staff & faculty recruitment activities as assigned for the university community.
- Actively promotes/recruits/sources for posted positions to recruit for talent, promoting the university and enhancing brand recognition.
- Assists in identifying hiring needs across campus by working with Deans, Department Chairs, Provost Office, faculty and staff to find the best talent to fill an integral role in a specific department/unit.
- Proactively utilizes data available from questionnaires, exit interviews, and other metric data for future recruitment activities.
- Partners with recruitment team to design, refine and implement innovative recruiting strategies. .
- Establishes and works with various sources to attract candidates (social media, LinkedIn, employee referrals, etc.) and establish databases for candidate referrals.
- Serves as point of contact for members of the HR Partner, recruitment team, hiring units, search chairs and applicants on all searches. Provides subject matter expertise and recruiting advice/training to search committees, may actively participate in the recruitment (sourcing) and screening of applicants, preparing interview questions and assisting with the offer letter and unit letters in accordance with university policies & procedures as well as any other related activities.
- Reviews, audits recruitment plans and posts approved position descriptions, coordinating with the HR Partner or Compensation Team as appropriate. Reviews position title, job family/classification assignment, FLSA status, updating position attributes in the HRIS system; coordinates position number assignment/position control validation, and evaluates recruitment exceptions. Works with the HRM Compensation Team regarding title assignment and general pay guideline issues. Generates offer letters for new hires and limited term positions, reviews background check results, and updates PeopleSoft panels for effective position management.
- Coordinates with International Employment on labor certifications, verbal offers and offers that may require immigration/visa support to ensure work authorization can be met.
- Reviews and evaluates inquiries and/or complaints related to the search process and provides assistance and resolution. Audits searches for Equal Opportunity compliance and notifies supervisor of any concerns.
- Communicates with HR Partners, Deans, Directors, Department Chairs, Faculty, Staff, and/or other partners daily.
- Assists with annual business process activities and procedures for staff, and related student hiring. Researches advertising options and strategies, participates in job fairs, etc.
- Works within multiple university systems regarding recruitment, position control/management, onboarding and appointment activities.
- Evaluates inquiries regarding consultant versus employment activities. Provides work agreements as directed by supervisor.
- Requests appropriate background checks as needed for employment needs campus wide.
- Develops, coordinates, and presents informational seminars and/or training sessions in person and online. Assists with updating manuals, website, and training materials. Participates in special or ongoing training assignments.
- Leads special projects or annual business operational process activities.
- Develops and participates in proactive strategies to promote equal opportunity initiatives in the campus community and streamline operations. Coordinates with HR Learning and Development with programming content as needed to ensure broad outreach.
- Communicates with the campus community regarding HR resources and services through social media, website, programming, etc.
- Works independently and as part of a team on the enhancement of policies, procedures, communications, and special projects as assigned to ensure compliance and efficiency.
- Assists with reporting needs for the Employment section of HR and the search teams supported.
- Works daily in the University’s Applicant Tracking system, mastering the operational details to provide resolution to customers questions, issues, etc.
- Provides training and guidance to recruitment team and university partners on key strategic activities, processes, or initiatives.
- May coordinate executive search activities including but not limited to serving on the search committee, building agendas and providing a concierge/ambassador experience for the candidates during onsite interviews.
- Actively participates in professional development activities to promote learning and growth.
Position Requirements
Hybrid - working three days in office at the Lawrence, KS campus and two days remotely.
Required Qualifications
- Bachelor's degree and three years related work experience in recruitment, human resources, affirmative action or other related HR areas OR HS Diploma/GED equivalency and six (6) years related work experience in recruitment, human resources, affirmative action or other related HR areas.
- A minimum of two years' experience in a professional work environment which demonstrates knowledge of EO/AA Policies, Laws, Regulations and/or university policies.
- A minimum of one year's experience recruiting candidates or coordinating search activities.
- Experience in building collaborative relationships/partnerships.
- Demonstrated experience in leading a program, project, initiative or being a subject matter expert as confirmed in application materials, interview, or references.
Preferred Qualifications
- Master's degree OR more than five (5) years direct work-related experience in recruitment OR SPHR or SHRM certification.
- Previous experience with HRSA/PeopleSoft system.
- Experience working with ATS systems, database conversions, and developing queries and/or reports.
- Experience in developing training materials, brochures, manuals, etc.
- Demonstrated experience and understanding of university structure, policies, and procedures.
- A minimum of one year's experience in providing education or training in subject areas such as human resources, recruitment, affirmative action, and/or equal opportunity in large and small group settings.
- Experience in actively sourcing candidate pools.
