Position Overview
The success of a university largely depends on its ability to attract and retain qualified students, with the Enrollment Management division playing a crucial role in this effort. The division is dedicated to creating a data-informed, forward-thinking enrollment strategy that supports the institution's strategic goals in an integrated and purposeful way.
The Enrollment Management Shared Services Center (EMSSC) provides front-line services to students on behalf of all the units within Enrollment Management (specifically, Financial Aid & Scholarships, Graduate Admissions, Registrar, Undergraduate Admissions), facilitates critical back-office processing, and provides overall project management support for the organization. This work is done on behalf of other units within EM and requires frequent and intentional coordination, training, and communication.
The goal of the center is to not only provide accurate, friendly, and consistent service to students, but to also proactively identify methods to enhance the student experience at the University by decreasing bureaucracy, reducing student bounce and increasing student time to enable focus on academic endeavors. Specifically, this position is a data processing position that supports data entry to all functional units of Enrollment Management. This position maintains excellent data entry skills, a high degree of organizational ability, customer service skills, attention to detail, independent problem solving, and the ability to proof own work.

Job Description
40% - Incoming and Outgoing Document Processing
10% - Imaging and Document Management
- Monitors outgoing transcript production to ensure that transcripts are processed timely in coordination with stakeholder expectations.
- Monitors incoming transcripts by downloading and processes following procedures and stakeholder expectations.
- Assists in the production of enrollment certifications and NSC degree verifications through the MyHub system.
- Processes returned diplomas according to the procedure.
- Scans and quality checks documents for various units, utilizing established processes and protocols.
- Serves as processing support for Enrollment Management Units through various long and short-term projects by utilizing various systems by each functional unit.
- Monitors EMSP HawkHelp Ticketing System and assists with escalations from EMSS team.
- Serves as processing assistant to Admissions-related responsibilities, including but not limited to tasks such as transcript and application verification.
- Serves as processing assistant to Graduate Admissions-related responsibilities, including but not limited to tasks such as application processing and test score entries.
- Serves as processing assistant for Financial Aid and Scholarships-related responsibilities, including but not limited to tasks such scholarship and loan processing.
- Serves as processing assistant for the University Registrar-related responsibilities, including but not limited to tasks such as residency, waivers, and enrollment.
- Maintains moderate knowledge of current applicable policies and procedures for EM units and applying them appropriately.
- Reviews data for errors, missing information, etc. and works with supervisor and unit point of contact to help resolve any discrepancies.
10% - Imaging and Document Management
- Opens, scans and links incoming mail daily.
- Assist with outgoing document production and mailing.
- Assist with mailing and shipping projects as needed.
- Assists with welcome packets and other materials as needed including outgoing scholarship and admission letters.
- Delivers documents and items to EM units and stakeholders via a courier run as directed.
- Maintains confidentiality of documents processed.
- Assists in managing EMSP inventory which includes inventory for Admissions, Registrar, and Financial Aid.
- Works with supervisor to organize the ordering of new materials with EM partners when needed.
- As assigned by supervisor.
Position Requirements
- Valid driver’s license or ability to obtain one by time of appointment.
Required Qualifications
- High School diploma or completion of G.E.D. equivalency.
- Two years’ experience in skilled clerical, accounting, auditing and/or administrative support work, including experience with basic office computer systems.
- Excellent written communication skills, as evidenced by application materials.
Preferred Qualifications
- One year experience in data entry, with demonstrated experience performing with high levels of accuracy and maintaining confidentiality of records.
- One year experience in PeopleSoft/Campus Solutions or similar enterprise student information system.
- Full-time work experience at the University of Kansas and/or in higher education including familiarity with Financial Aid, Registrar, or Admissions process and procedures, as demonstrated by previous work experience.
- Strong organizational and time management skills, as evidenced by application materials.
- Attention to detail, ability to proof own work, and independently problem solve with assistance from supervisor, as evidenced by application materials.
- Ability to work collaboratively in a team setting, as demonstrated by application materials and previous work experience.
