Undergraduate Program Coordinator


Position Overview

The Undergraduate Program Coordinator will serve as the Assistant to the Undergraduate Director in the Department of Mechanical Engineering in the KU School of Engineering, and will work with the Mechanical Engineering Department Chair on related activities as described under job duties. Duties include all matters pertaining to undergraduate student recruitment, student guidance, and student admissions. In addition, the Undergraduate Program Coordinator will work with the Department Chair to develop and maintain materials for internal and external stakeholders and constituents including but not limited to: (a) prospective undergraduate students, (b) former students, (c) faculty members at peer institutions and others who rank the department’s undergraduate and graduate programs, and (d) prospective employers and capstone design project sponsors from industry. This position is required to work on-site.

Job Description

70%-Undergraduate Program
In coordination with the Undergraduate Director and Department Chair to:
• develop and maintain the mechanical engineering bachelor of science plan of study for undergraduate students,
• act as the primary liaison for the department with Jayhawk Academic Advisors (JAA) for Mechanical Engineering,
• evaluate both internal and external undergraduate student transfer credits,
• coordinate study abroad program for Mechanical Engineering,
• collect, process, and prepare ABET and HLC outcomes assessment summaries and assist in the preparation of materials for ABET and HLC visits,
• coordinate Faculty and mentoring interfaces with students,
• check student enrollment to ensure consistency with the mechanical engineering bachelor of science plan of study,
• coordinate with faculty to provide guidance for undergraduate students in handling special situations and circumstances,
• develop reports and statistics regarding enrollment, retention and graduation, and other matters as appropriate,
• help plan semester schedules for all Mechanical Engineering courses, teaching, meetings, and other interactions with students as well as act as the scheduling officer for the department within the School of Engineering,
• assist in coordinating undergraduate-related activities with the School of Engineering, as well as KU’s Registrar/Scheduling/Orientation/Degree Planning Group, and similar organizations across campus,
• maintain undergraduate curriculum sheets/records/files including the department website,
• help identify class assistants and graduate teaching assistants, and
• identify ways to upgrade and improve the Mechanical Engineering undergraduate experience.

20%-Materials for External Stakeholders
In coordination with the Department Chair to:
• maintain and improve the Department’s website as relevant to the undergraduate program,
• develop and distribute professional-quality communications to several thousand individuals external to the University, and
• develop and distribute professional-quality newsletters and research reports to several hundred external stakeholders and peers at other institutions.

10%- Other duties as assigned
• Potentially supervise student workers or other staff persons
• Serve as backup to the Department’s administrative assistant
• Participate in student-centric activities including but not limited to graduation and departmental awards banquets
• Take on special projects as needed.

Position Requirements

Required Qualifications

  1. Bachelor’s degree with one year of relevant experience OR Master’s degree.
  2. Demonstrated strong communication skills and good organizational skills as evidenced by letter of application, resume, and work history.

Preferred Qualifications

  1. Knowledge of KU, School of Engineering, or other higher education institution requirements, policies, and procedures as evidenced in application materials.
  2. Experience with Microsoft Office, including Access.
  3. Experience with Adobe Illustrator.
  4. Experience updating and posting to web pages, including familiarity with Drupal or other web editing systems.
  5. Experience with database management.
  6. Two years experience working directly with students in a college or University setting.
  7. Experience with accreditation processes specific to the engineering profession.
