Undergraduate Program Recruitment Coordinator


Position Overview

The Undergraduate Program Recruitment Coordinator is responsible for new student recruitment to Bachelor of Social Work (BSW) program in the University of Kansas School of Social Welfare. This position implements and monitors the undergraduate recruitment strategy for the School of Social Welfare.

This position reports to the Director of Marketing and collaborates with the school’s academic advisors and student support staff; academic program directors; and partners in Academic Advising, Enrollment Marketing, KU Admissions, Jayhawk Global and other KU offices, serving as an ambassador for KU Social Welfare to various audiences.

Duties include communicating regularly and building relationships with prospective students; managing selected correspondence; and planning and executing on- and off-campus programs. The Undergraduate Recruitment Coordinator is responsible for evaluating and interpreting data and research to assist the School of Social Welfare in reaching enrollment goals.

This is a full-time, benefits-eligible, 12-month professional staff position. This position will work primarily on the KU Lawrence campus, with in-person days on a set schedule, and remote or hybrid work based on the recruitment schedule. This position requires occasional travel to perform the listed duties, as well as evening and weekend hours.

Job Description

50% - Recruitment Events & Outreach:
Oversee, manage and actively participate in on- and off-campus programs and events focused on recruiting students to the KU School of Social Welfare undergraduate program. Duties include but are not limited to:
  • In collaboration with the KU Office of Admissions and other colleagues across campus and within the School, represent the School of Social Welfare at on-campus recruitment functions such as Junior Days, Admitted Senior Days, Scholar Days and prospective student visits.
  • Assist with planning and execution of all on-campus recruitment events, including but not limited to Social Welfare-specific recruitment and yield events, Hawk Week Academic Welcome, Rock Chalk Days, Crimson and Blue Days, and other events.
  • Create and deliver presentations about social work programs for KU Admissions events.
  • Build connections with Kansas and area high school and community college teachers, facilitators, and counselors with the aim of helping students explore the field of social work. This will include visiting schools, and/or inviting groups to and hosting them on campus.
  • Plan and host virtual and in-person information sessions for undergraduate social work programs, for all campus locations (Lawrence, Overland Park). Coordinate scheduling and confirm info session staffing with program directors, practicum staff and support staff. Coordinate info session marketing with Director of Marketing. Manage follow-up communications with event registrants and attendees.
  • Represent social work programs at off-campus recruitment events and conferences. Some events require overnight travel in the region and nationally.
  • Attend appropriate and strategic off-campus high school visits and fairs.
  • Assist in organizing specific visit programs for individual groups or middle/high school programs. Coordinate select outreach programs on campus.
  • Plan and participate in outreach activities designed to increase awareness of and interest in social work.
  • In collaboration with the Graduate Recruitment Coordinator and Director of Marketing, manage the School’s overall recruitment events calendar.
  • Support graduate student recruitment events and visits as directed.
  • Support orientation programs for social work students.

30% - Recruitment Tactics, Recruitment Strategy and Prospect Management:
Cultivate and manage a pipeline of students seeking admission to the program. Sample of duties include:
  • Collaborate with the School’s Director of Marketing, program directors and academic staff to create and implement a recruitment marketing plan for undergraduate social work programs.
  • Contribute to the development of the ongoing recruitment strategy, materials, resources and analyzing data to recruit prospective students.
  • Assist in developing a prospective student pool and cultivating relationships with prospective students from inquiry to enrollment.
  • Manage, track and report prospect movement through prospect database and other recruitment database programs or tactics.
  • Communicate daily with prospective students, families, and high school and community college counselors. Provide accurate, timely responses by email and phone to inquiries from prospective students. Identify and utilize opportunities to leverage KU’s CRM (Slate), social media and personal messaging in overall communication plan.
  • Meet with prospective undergraduate students in person and online to provide information that assists prospective students with admission and academic program selection.
  • Refer prospective undergraduate students to appropriate KU offices for additional support.
  • Organize prospective student mailings and promotional recruitment items.
  • Represent the School of Social Welfare in KU Admissions meetings and trainings.
  • Serve as the primary point of contact for community/state agencies and higher education institutions wanting information regarding School of Social Welfare undergraduate programs.

10% - Student Ambassador Program Management:
  • Supervise Student Ambassadors for the School of Social Welfare. Assign, track and manage Ambassador tasks. Help the Ambassador team develop professionally and work collaboratively.
  • Coordinate prospective student visits and tours with Student Ambassadors.
  • Manage on-campus tours for the School of Social Welfare.
  • Recruit, hire and train new Student Ambassadors on an annual basis, or as needed.

10% - Service and Miscellaneous Duties:
  • Participate as an active member of the School of Social Welfare staff, including attending School Business Meetings and School Student Services meetings.
  • Serve on School and University committees, as directed.
  • Complete other job-related duties as assigned.

Position Requirements

  1. Ability to work evening and weekend hours as needed and with advance notice, based on recruitment events schedule.
  2. Ability to travel to regional and national events to recruit social work students.
  3. Ability to work a regular schedule of in-person, on-campus hours, as assigned by the Director of Marketing. This position also allows for hybrid flexibility, including scheduled remote work, with additional remote flexibility during academic breaks.
Due to complex state employment laws, the University of Kansas may be unable to hire fully remote workers for this position outside of Kansas. Required Qualifications

  1. Bachelor’s degree and one year of relevant experience.
  2. Minimum of 3 months of presentation experience as evidenced by coursework, extracurricular activities, or professional presentations.
  3. Valid driver’s license at the time of appointment.
  4. Strong written communication skills, as evidenced by application materials.

Preferred Qualifications

  1. Strong oral communication skills, as evidenced in application materials.
  2. Experience working in a college or university setting, as demonstrated by employment history.
  3. Experience in public relations activities, university admissions, or student recruiting, as evidenced by application materials.
  4. Experience in event planning, as evidenced by employment history.
  5. Experience using virtual meeting tools to host online events, as demonstrated by application materials.
  6. Experience successfully managing multiple detail-oriented projects or programs, as evidenced in application materials.
  7. Demonstrated ability to work in a team setting, as evidenced in application materials.
  8. Demonstrated knowledge of the social work profession and social work education, as demonstrated by employment history.
  9. Familiarity with higher education recruitment and marketing, as evidenced by application materials.
  10. Adaptability to changing projects and priorities, as demonstrated by application materials.
