Event Planning & Administrative Student Hourly


Position Overview

The student hourly for the Center for Undergraduate Research & Fellowships provides administrative, logistics, and communications support for strategic priorities related to undergraduate research and nationally competitive fellowships and scholarships. The student hourly is responsible for supporting internal event planning and office operations. Events include the Rising Scholars brunch and informative workshops, two online research poster events, one hybrid research poster/presentation event, a recognition reception, and more. This position may use a breadth of KU-approved systems to complete work, including but not limited to, Adobe Express and other Adobe products, Microsoft 365 products, Symposium ForagerOne (research presentation management system), and more. The student hourly may also participate in external campus events such as information fairs, workshops, and outreach events. This position reports to the associate director of the Center for Undergraduate Research & Fellowships.

Job Description

Event Planning: 75%
  • Assist with administration, logistics, and outreach efforts for internal in-person, online, and hybrid events
  • Collaborate with other team members to promote events
  • Manage event RSVPs
  • Assist during internal CURF events and external partner events
Office Administration: 25%
  • Welcome students and other constituents visiting Summerfield 203 and assist with front office administration; provide exceptional customer service
  • Help organize spring symposium poster session reviews and awards
  • Assist in organizing review committee data for various CURF awards
  • Assist with mentor award application organization
  • Other duties as assigned.

Required Qualifications

  1. Demonstrated computer competency (Microsoft Office Suite) and capacity to learn new software systems as detailed in resume
  2. Strong attention to detail as evidenced through previous experience and application materials
  3. Strong communication skills as evidenced in application materials and interview
  4. Eligible for Federal Work Study through KU Financial Aid
  5. During the semester term of the appointment, the student hourly must be enrolled in no fewer than 6 credit hours. For summer periods the student hourly must: 1) have been enrolled in no less than 6 hours in the past spring semester or 2) be pre-enrolled in upcoming fall semester in no less than 6 hours or 3) be enrolled in summer session or 4) be admitted to study in the upcoming fall semester. Student Hourlies may be undergraduate or graduate students. (Exceptions granted for GRA/GTA/GA appointments DO NOT apply to Student Hourly appointments)

Preferred Qualifications

  1. Familiarity with undergraduate research and/or nationally competitive fellowships and scholarships
  2. Experience with event planning and execution
  3. Experience promoting events or programs
  4. Previous customer service experience
