Position Overview

KU Libraries' Office of the Dean Administrative Intern provides valuable clerical and project support for the KU Libraries Dean’s Office, with guidance and supervision from the Dean’s Executive Associate. The Administrative Intern will work collaboratively with numerous Library stakeholders: the Dean, Leadership Team, and various Library Faculty and Staff on a variety of projects and tasks. This role is looking for a hospitable, customer-service-focused, and welcoming Jayhawk. The ideal candidate will be an ambitious self-starter who enjoys confronting unique challenges with confident communication, innovative collaboration, a keen eye for detail, and, most importantly, discretion.

Job Description

KU Libraries Office of the Dean projects and requests evolve as the needs of the Libraries and University change. Most responsibilities of the position involve heavy collaboration with the Executive Associate to the Dean, these tasks include but are not limited to:
  • Dean and Leadership team's calendar/time management, travel planning, handling and tracking of important documents with discretion, data entry, mass mailings support, Outlook room management, physical space oversight, and cleaning. The position will work at and provide coverage for the 502-suite reception desk, greeting visitors, answering and routing guest inquiries (phone and email). The position will collaborate with various stakeholders of the suite and can expect to engage in changing and exciting projects that benefit KU and the Libraries. [Sitting - 80% Standing, walking - 15% Lifting, 30lbs - 5%]

60% - Leadership Team Clerical Support
40% - Organizational Suite Stakeholder Support

Required Qualifications

  1. During the semester term of the appointment, the student hourly must be enrolled in no fewer than 6 credit hours. For summer periods the student hourly must: (1) have been enrolled in no less than 6 hours in the past spring semester or (2) be pre-enrolled in the upcoming fall semester in no less than 6 hours or (3) be enrolled in summer session or (4) be admitted to study in the upcoming fall semester. Student Hourlies may be undergraduate or graduate students. (Exceptions granted for GRA/GTA/GA appointments DO NOT apply to Student Hourly appointments).

Preferred Qualifications

  1. Experience communicating via phone, email, and in-person.
  2. Experience with Microsoft Suite Products.
  3. Detail oriented and highly organized as evidenced by application materials.
  4. Customer service or hospitality focused job experience.
  5. Clerical, administrative, or office experience.
  6. Experience requiring creative thinking, problem solving, and a strong initiative.
  7. Experience demonstrating responsibility with confidential information.

Position Requirements

  1. Must be able to lift 30 lbs. with or without accommodation.

Employment Conditions

(1) Student employees are not eligible for remote work arrangements unless an exception is approved by the unit leadership and HR.

(2) This is an hourly/non-exempt position. A student employee cannot hold an hourly/non-exempt position and a salaried/exempt graduate or undergraduate position (GRA/GTA/GA/RUA/RGA) concurrently.
