Student Engagement Specialist - Graduate Student Hourly


Position Overview

The graduate assistant(s) for the Center for Undergraduate Research & Fellowships provides administrative and supervisory support for the Emerging Scholars program and other strategic priorities for the Center. The graduate assistant(s)(s) helps supervise the Emerging Scholars Program participants including payroll and timesheets, process completion, and related support for students in the program.

This position uses a breadth of KU-approved systems to conduct their work including Jayhawk GPS (EAB Navigate) for student records, advising notes, communications, and appointments; Enroll & Pay (PeopleSoft Campus Solutions) for student enrollment, payment, and finance tracking; and HR (Human Resources) Pay (PeopleSoft payroll system) to track and report student paid time.

The graduate assistant(s) may also lead program meetings and/or meet individually with Emerging Scholars and/or other students engaging with the Center for Undergraduate Research & Fellowships. This position reports to the Assistant Director for Student Programs.

Job Description

65% Monitoring Student Engagement
  • Monitor daily timesheets for Emerging Scholars and follow up as needed with HR or the student to meet critical time-and-pay deadlines.
  • Utilize KU systems (Jayhawk GPS, Enroll & Pay, and HR Pay) to monitor student engagement with the program and their academic progress.
25% Communications and Program Logistics
  • Communicate with Center staff and follow up with students as needed based on students’ progress.
  • Organize group meeting planning.
  • Schedule individual meetings for Emerging Scholars.
  • Prepare reports and emails detailing hours worked for each Emerging Scholar.
  • Email and/or call Emerging Scholars to follow up on meetings.
  • Communicate with Emerging Scholars Peer Mentors about student meetings.
  • Share information regarding research, fellowship, and scholarship opportunities with students individually and in group settings.
10% Outreach and Administrative Support
  • Serve as Center representative, as needed, during information fairs and other events.
  • Welcome students and other constituents who visit Summerfield 203 and provide general office assistance as needed.
  • Other duties as assigned.

Required Qualifications

  1. Strong interpersonal and written communication skills as demonstrated in application materials.
  2. Strong attention to detail as evidenced through previous experience and application materials.
  3. During the semester term of the appointment, the student hourly must be enrolled in no fewer than 6 credit hours. For summer periods the student hourly must: 1.  have been enrolled in no less than 6 hours in the past spring semester or 2. be pre-enrolled in upcoming fall semester in no less than 6 hours or 3. be enrolled in summer session or 4. be admitted to study in the upcoming fall semester.

Preferred Qualifications

  1. Experience working with a diverse group of students, faculty, community members and/or staff as shown through research experience, student groups, or other student or professional experience.
  2. Experience (student or professional) supporting low-income students.
  3. Experience in mentored research experiences.
