Student Events Specialist Pool- Edwards Campus


Position Overview

The Student Events Specialist supports the planning and execution of campus events, ensuring a welcoming and seamless experience for all guests. Reporting to the Manager of Campus Events, this role is ideal for students who are organized, service-oriented, and enjoy working in a team environment. The position also requires the ability to build and maintain strong relationships with both internal and external stakeholders.

Job Description

30% - Guest Services

  • Welcome and assist guests upon arrival, providing a professional, courteous, and positive first impression.
  • Respond promptly to guest inquiries and ensure a high level of customer service throughout events.

20% - Event Setup

  • Support the preparation and setup of event spaces, including beverage stations, linens, seating arrangements, audiovisual equipment, and signage.
  • Ensure event spaces are organized, presentable, and ready prior to guest arrival.

20% - Client Communication

  • Maintain clear, professional, and timely communication with clients regarding event details and logistical needs.
  • Coordinate requirements related to technology, catering, room configurations, refreshments, and printed materials to ensure successful event execution.

15% - Team Collaboration

  • Collaborate effectively with event team members and other departments to ensure all event requirements are met.
  • Assist in resolving issues and making real-time adjustments to support a seamless event experience.

15% - Event Breakdown

  • Assist with post-event teardown, cleanup, and restoration of event spaces to established standards.
  • Inventory and store event materials and equipment, ensuring spaces are reset and prepared for future events.

Required Qualifications

  1. Demonstrated proficiency in Microsoft Word, Outlook, and Excel, as evidenced by prior coursework, work experience, or application materials.
  2. Previous experience providing customer service in a fast-paced environment as indicated in application materials.
  3. Strong written communication skills and attention to detail, as reflected in the submitted cover letter and resume.
  4. Must be able to lift and carry up to 35lbs, with or without reasonable accommodation.

Preferred Qualifications

  1. Experience using 25Live or comparable event scheduling software as indicated on application materials.
  2. Familiarity with University of Kansas policies, procedures, or campus operations.
  3. Prior experience supporting events, hospitality services, or related customer-facing roles as indicated on application materials.
  4. Evidence of effective teamwork and collaboration, as reflected in application materials.
  5. Eligibility for Federal Work-Study through the Office of Financial Aid.

Position Requirements

During the semester term of the appointment, the student hourly must be enrolled in no fewer than 6 credit hours. For summer periods the student hourly must: (1) have been enrolled in no less than 6 hours in the past spring semester or (2) be pre-enrolled in the upcoming fall semester in no less than 6 hours or (3) be enrolled in summer session or (4) be admitted to study in the upcoming fall semester. Student Hourlies may be undergraduate or graduate students. (Exceptions granted for GRA/GTA/GA appointments DO NOT apply to Student Hourly appointments).

Employment Conditions

(1) Student employees are not eligible for remote work arrangements unless an exception is approved by the unit leadership and HR.

(2) This is an hourly/non-exempt position. A student employee cannot hold an hourly/non-exempt position and a salaried/exempt graduate or undergraduate position (GRA/GTA/GA/RUA/RGA) concurrently.
