Student Hourly Administrative Assistant


Position Overview

The IPSR student administrative assistant provides general office support and assists staff members with data entry, data and file management, and other research project tasks.

The position is located in Blake Hall on The University of Kansas Lawrence campus.

Job Description

The student administrative assistant supports IPSR staff and sponsored research projects in several ways.

40% Office & Event Support

  • Receptionist duties and general office support, such as answering the main phone line and assisting visitors, requesting service for the office space and equipment, supporting faculty and staff who need help with office equipment, scheduling meetings, mailing and shipping, and researching travel options.

  • Light office maintenance tasks such as keeping shared spaces stocked and clean.

  • Supporting IPSR events by creating or preparing event materials, managing contact lists, and entering data.

30% Publication Support

  • Assisting with preparation of the Kansas Statistical Abstract and other publications through entering and filing detailed data tables, working on data visualizations, and providing other support.

30% Research Support

  • Supporting research projects with tasks such as entering or reviewing data, formatting reports and data tables, and promoting research topics or findings through social media.

  • Assisting the grant development staff with tasks such as reviewing and formatting proposal documents for consistency.

  • Maintaining central electronic and print records of grant applications and awards.

Required Qualifications

  1. Administrative experience work in an office environment and familiarity with office equipment such as a scanner, printer, fax machine, and conference phone, as demonstrated in application materials.
  2. Working knowledge of Microsoft Word, Excel, and Outlook, as demonstrated by work experience and application materials.
  3. Strong written and spoken communication skills, as demonstrated by work experience and application materials.
  4. During the semester term of the appointment, the student hourly must be enrolled in no fewer than 6 credit hours. For summer periods the student hourly must: 1) have been enrolled in no less than 6 hours in the past spring semester or 2) be pre-enrolled in upcoming fall semester in no less than 6 hours or 3) be enrolled in summer session or 4) be admitted to study in the upcoming fall semester. Student Hourlies may be undergraduate or graduate students. (Exceptions granted for GRA/GTA/GA appointments DO NOT apply to Student Hourly appointments).

Preferred Qualifications

  1. Experience with detailed data entry.
  2. Experience maintaining electronic and print records.
  3. Experience formatting and proofreading documents.

Advertised Salary Range

$11 per hour (minimum)

Varied 10-20 hours a week, Monday-Friday, 8:00 am-4:30 pm
