Student Hourly Office Assistant


Position Overview

The Undergraduate Biology Office plays an important role at KU, serving faculty, staff, and students in the Undergraduate Biology Program as well as in the Department of Molecular Biosciences and the Department of Ecology and Evolutionary Biology. Successful candidates will demonstrate superior customer service, conduct a proactive and welcoming attitude towards students, staff, faculty, and visitors to the office.


Job Description

The position is responsible for general office duties and completing tasks as assigned by Undergraduate Biology Program staff. The employee will perform a variety of functions and must be able to multitask and meet deadlines. Duties include, but are not limited to:
  • 60% – Front Desk Reception:
    Greet visitors in a professional and welcoming manner, answer and direct incoming telephone calls, and schedule appointments as needed.

  • 10% – Mail Management:
    Sort, distribute, and manage incoming and outgoing mail and packages.

  • 10% – Key Control:
    Issue, track, and manage building keys in accordance with established procedures.

  • 10% – Document Services:
    Perform photocopying, scanning, and document preparation tasks as requested.

  • 5% – Office Organization:
    Maintain a tidy and well-stocked front desk, reception area, and copy room, ensuring supplies are replenished and spaces are orderly.

  • 5% – Errands:
    Complete errands on campus, such as delivering documents or materials to designated offices or departments.

Required Qualifications

  1. Non-Biology-Major (cannot be majoring in biochemistry; biology; ecology, evolution, and organismal biology; human biology; microbiology; and molecular, cellular, and developmental biology.
  2. Strong verbal and written communication skills as evidenced by application materials.

Preferred Qualifications

  1. Experience working in a customer service environment as evidenced by application materials.
  2. Dependability and availability to work in blocks of at least two hours.
  3. Availability to work over breaks and summer.
  4. Experience with Microsoft 365 applications, including Teams, Outlook, and Excel, as evidenced by application materials.

Position Requirements

During the semester term of the appointment, the student hourly must be enrolled in no fewer than 6 credit hours. For summer periods the student hourly must: (1) have been enrolled in no less than 6 hours in the past spring semester or (2) be pre-enrolled in the upcoming fall semester in no less than 6 hours or (3) be enrolled in summer session or (4) be admitted to study in the upcoming fall semester. Student Hourlies may be undergraduate or graduate students. (Exceptions granted for GRA/GTA/GA appointments DO NOT apply to Student Hourly appointments).

Employment Conditions

(1) Student employees are not eligible for remote work arrangements unless an exception is approved by the unit leadership and HR.

(2) This is an hourly/non-exempt position. A student employee cannot hold an hourly/non-exempt position and a salaried/exempt graduate or undergraduate position (GRA/GTA/GA/RUA/RGA) concurrently.
