Position Overview

The Student serves an important role in the communications and organization of the College Dean's Office. The student will manage a diverse set of duties throughout the day and must be able to effectively multi-task. They will have access to a variety of sensitive materials and is expected to maintain confidentiality. Professional communication with members of the College Dean's Office, as well as the support staff of other deans, department chairs and directors, faculty, students, parents, university staff members and the general public will be inherent to the daily operations of the individual in this role. They will also provide administrative assistance to the Dean's Office as a whole by receiving guests, routing phone calls, preparing the conference room, tidying the kitchen, scheduling meetings and, on occasion, assisting with events.

Job Description

90% Reception Duties
  • Greets and provides assistance to the public, faculty, staff and student visitors to the Dean’s Office and escorts visitors as needed
  • Routes incoming calls and provides information regarding Dean/Associate Dean availability
  • Works to ensure all photocopying, scanning, and other miscellaneous support tasks are completed
  • Provides administrative support to members of College Dean’s Office as requested
  • Handles confidential information and uses discretion and direction from the deans and supervisor when providing details regarding the deans' projects to other parties
  • Organizes logistical arrangements for meetings and conferences on and off-campus
  • Collects and distributes incoming and outgoing mail
10% Miscellaneous Duties
  • Other various duties assigned by the Dean, Associate Deans or other office staff

Required Qualifications

  1. Excellent written communication skills and attention to detail as demonstrated by application materials
  2. Computer skills as demonstrated by application materials and previous experience
  3. During the semester term of the appointment, the student hourly must be enrolled in no fewer than 6 credit hours. For summer periods the student hourly must: 1) have been enrolled in no less than 6 hours in the past spring semester or 2) be pre-enrolled in upcoming fall semester in no less than 6 hours or 3) be enrolled in summer session or 4) be admitted to study in the upcoming fall semester. Student Hourlies may be undergraduate or graduate students. (Exceptions granted for GRA/GTA/GA appointments DO NOT apply to Student Hourly appointments).

  3. Ability to interact positively with a variety of people, including office colleagues, University staff, faculty, students and parents
  4. Ability to remain confidential regarding sensitive situations and files addressed in the office
