Student Office Assistant
Position Overview
The Student Office Assistant (SOA) provides valuable support to the Speech, Language, and Hearing Department (SPLH) under the guidance of the Administrative Associate. As the primary receptionist, the student will manage a variety of tasks throughout the day, ensuring excellent customer service and maintaining a professional atmosphere. This role requires time management skills, attention to detail, and the ability to handle sensitive information while maintaining confidentiality. Communication with department members, faculty, staff, students, parents, and the public may be required. The SOA will assist with front desk operations, including greeting guests, answering phone calls, preparing the conference room, maintaining common areas, and providing administrative support. This position offers the opportunity for students to gain valuable office experience in a supportive academic environment.

Job Description
85% - Front Desk Duties
- Warmly greet visitors and ensure they feel welcome and informed as they enter the SPLH department. Escort visitors to the appropriate locations as needed.
- Answer phone calls, check voicemail, and manage the department email inbox, ensuring that all messages are addressed promptly and professionally.
- Provide administrative support to SPLH faculty, staff, and students, completing tasks in a timely manner as assigned.
- Handle confidential information with discretion, only sharing sensitive details as advised by faculty or other department members.
- Maintain cleanliness and organization in common areas, including the front desk, conference room, seating area, and supply rooms.
- Collect, sort, and distribute incoming mail, checking for USPS and campus mail once a day around 2:30 pm. Retrieve packages from the LSI office and ensure they are properly distributed.
- Sign for and distribute packages from carriers such as UPS and FedEx. Notify recipients of package arrivals via email.
- Complete opening and closing routines as per your assigned shift schedule.
- Check and refill paper in the printers/fax machines located in 3001 Dole, and replace toner as needed.
- Utilize Microsoft Office programs (Word, Excel, Outlook) to assist with various tasks and communications.
- Perform other duties as assigned by the department Chair, Administrative Associate, or SPLH faculty/staff.
- Monitor office supplies and alert the department Administrative Associate when inventory is running low.
- Oversee the return of keys and ensure that they are appropriately logged.
- Assist with departmental events as needed.
Required Qualifications
- Written communication skills with attention to detail, as demonstrated by application materials.
- Working knowledge of Microsoft Office programs (Word, Excel, Outlook).
- During the semester term of the appointment, the student hourly must be enrolled in no fewer than 6 credit hours. For summer periods the student hourly must: 1) have been enrolled in no less than 6 hours in the past spring semester or 2) be pre-enrolled in upcoming fall semester in no less than 6 hours or 3) be enrolled in summer session or 4) be admitted to study in the upcoming fall semester. Student Hourlies may be undergraduate or graduate students. (Exceptions granted for GRA/GTA/GA appointments DO NOT apply to Student Hourly appointments)

- Ability to maintain confidentiality regarding sensitive information.
- Responsible and able to manage time effectively.
